Privacy policy

This privacy policy explains how CoachPod Assist (coachpod.help) collects, uses, and protects information when you use our website and platform. We operate for coaches and trainers in Australia, New Zealand, and Singapore, and comply with the Australian Privacy Act 1988 (Cth) and, where applicable, the GDPR.

Information we collect

Coach accounts: name, email, profile information (niche, display name, biography, booking link), and payout email for receiving ticket revenue.

Event attendees: name, email, and optionally phone number and country as requested by the coach. Consent records (email opt-in, WhatsApp opt-in) are captured and timestamped.

Automatically collected: UTM campaign parameters on registration pages, and standard web server logs (IP address, browser type, referrer).

Payment card details are never seen by CoachPod — they are processed directly by Dodo Payments.

Consent and marketing

Attendee data captured through your event pages includes explicit consent records and timestamps. CoachPod Assist helps you create consent-aware event communication. You are responsible for sending messages only to people who have opted in and for following your local marketing laws.

How we use information

• To provide the platform and generate your event campaigns.
• To store your events, attendees, feedback, and follow-ups.
• To send transactional emails (registration confirmation, reminders, feedback requests, certificates) via Resend.
• To process ticket payments and transfer coach revenue via Dodo Payments.
• To contact you about your account and early access.
• To improve features and reliability (aggregate analytics only — no individual profiling for advertising).

Third-party services

We use the following sub-processors:

• Clerk — authentication (email, name)
• Neon (PostgreSQL) — database hosting (all platform data)
• Vercel — hosting and CDN (request logs)
• Resend — transactional email (name, email, event details)
• Dodo Payments — payment processing (name, email, billing country)
• Anthropic Claude — AI growth kit generation (event title and description)

We do not sell personal information to any third party.

Data you control

As a coach, you are the controller of the attendee data you collect. You are responsible for sending messages only to people who have opted in and for following your local marketing laws.

Your rights

You may request access to, correction of, or deletion of your personal information by emailing hello@coachpod.help. We will respond within 30 days. Attendees may unsubscribe at any time using the link in any email.

Data retention & security

Coach account data is retained while active and for 90 days after deletion. Attendee data is retained for 2 years to support certificate verification. Payment records are kept for 7 years as required by financial regulations. Data is encrypted in transit (TLS) and at rest.

Cookies

We use essential session cookies required for authentication (via Clerk). We do not use advertising or cross-site tracking cookies.
